Human Resources Officer Maternity Cover (with specific responsibility for Payroll processing and Terms & Conditions)
JOB PURPOSE: To provide a comprehensive and confidential support service to the College's HR function with a focus on payroll processes, terms and conditions and health and wellbeing.
SALARY: £26,942 - £30,805 per annum
GRADE: 5
REPORTING TO: Head of HR
Main Duties and Responsibilities
Payroll Processing and Employee Records
1. To coordinate the monthly transfer of information between Human Resources and Payroll, prepare reports and follow up with queries and issues with line managers.
2. To ensure employee records on the Human Resources Management Information System are updated and documentation is issued to employees (e.g. letters, contracts).
3. To support regular payroll reconciliation processes and ensure staff establishment information is up-to-date.
4. To assist in ensuring that all staff records within the HR function, both manual and electronic, are kept in accordance with data protection guidelines.
Terms and Conditions
5. To provide advice and guidance on employee terms and conditions and prepare associated correspondence and escalate to the Senior Human Resources Officer as required.
6. To advise on annual leave entitlement and undertake end of year processes and calculations.
7. To advise on family leave entitlements and draft associated correspondence and update records.
Recruitment, Induction and Employee Relations
8. To attend disciplinary, grievance and Dignity at Work meetings in a notetaking capacity and to compile records, as required.
9. To assist with the coordination and administration of recruitment processes, as required.
10. To participate in selection interviews as the Human Resources representative, as appropriate.
11. To assist in the preparation and delivery the College’s induction programme, as required.
Health and Wellbeing
12. To prepare absence management reports (to include weekly update report for the Senior HR Officer and trigger point reports) ensure records are up to date, and liaise with managers and the Senior Human Resources Officer to ensure absence management processes are carried out.
13. To make Occupational Health referrals and liaise with Occupational Health and line managers regarding implementation of recommendations.
14. To process eye test claims in line with the University College procedure.
15. To coordinate work station assessments and ensure recommendations are actioned.
16. To ensure the College First Aid list is up to date and staff training is up to date and an annual refresher is offered.
17. To assist in the implementation of the Staff Health and Wellbeing Strategy and associated action plan.
Committee Servicing and Administration:
18. To update and maintain HR records and systems (both manual and computerised) to satisfy College procedures and statutory requirements.
19. To follow set ordering procedures to ensure adequate supplies/resources are available to the Human Resources Department.
20. To assist in the development and maintenance of the Human Resources intranet site.
21. To assist in the processing of data for the HESA staff collection.
22. To monitor Employee Self Service and resolve queries and issues as required.
23. To process routine correspondence as required.
Knowledge and Experience
24. To continually update own learning and network with colleagues internally and externally to exchange ideas and develop skills and knowledge.
25. To attend and undertake relevant training/learning activities in accordance with the role and skills required.
General Duties
26. To work collaboratively with team members to meet all support requirements in the Human Resources team under the direction of the line manager.
27. To carry out any other duties which are appropriate to the post as may be reasonably requested by the Senior Human Resources Officer or Head of Human Resources.
