JOB SUMMARY
The provision of clerical services for the antenatal work carried out in the Public healthcare sector. The work will involve putting information on computer, maintaining a filing system and other clerical duties as required. The post holder may also be required to provide additional administrative support to the HR & Corporate Services department.
KEY DUTIES / RESPONSIBILITIES
- Inputting of antenatal sample request forms received from hospitals, GP’s and clinics on a computerised system.
- Checking for accuracy of information against four points of reference. Ringing the Ante Natal Clinic/GP’s surgery/Patient for clarification where required. Verifying samples.
- The preparation, checking and despatch of blood group cards and reports to Hospitals and GPs, the printing out of routine reports and maintenance and filing of records.
- Inputting of private blood grouping forms and dealing with associated cash / cheques, forwarding to the Finance Department.
- Data input of Microbiology samples, verifying this work and checking all forms have signatures and dates.
- Undertaking daily administration of housekeeping and consultant sheets sent by medical staff, assisting in cover for other clerical staff engaged on similar work.
- Working closely with laboratory staff in the resolution of any queries.
- Ordering required stationary for area of work.
- Photocopying, filing and typing as required.
- Training Bank / Agency staff on area of work and verifying this work when required.
- Cover duties at main reception, including operation of switchboard, maintenance of visitor’s book, sorting and preparation of mail as required.
- Organising own leave, i.e. providing cover for colleagues on leave / sickness basis.
- Participate in annual Staff Development Reviews / Appraisals.
- Any other related clerical duties as required.

4 GCSE’s at grades A-C including English
or
NVQ Level 2 in Administration or equivalent
or
1 year’s relevant clerical experience
Experience of working with computerised systems and knowledge of Microsoft Office packages.
Good communication skills and telephone manner
Responsible attitude to confidentiality
Ability to work as a member of a team or on own initiative and be adaptable to change
The ability to ensure accuracy in own work
QUALIFICATIONS
RSA Stage II Typewriting or word-processing qualification or equivalent
