Band 4 Office Manager
Rate: 13.57 per hour
Hours: 37.5 hours per week
Key Duties:
-To arrange and participate in team meetings to include minute-taking under the direction of management team and take responsibility for implementing agreed actions.
-To undertake projects when required on behalf of Senior Management as and when required.
-Co-ordination and validation of in-patient, day case and out-patient waiting lists, in accordance with Trust policies, using relevant computer systems.
-Effective communication with medical, secretarial and other staff to ensure accuracy and consistency of data systems.
-Proactively manage any potential patient access and waiting list target breaches by identifying concerns, considering options and implementing appropriate action.
-Provide advice, guidance and assistance on patient access and waiting list management issues to secretarial, administrative and clerical staff.
-To collect and collate statistical/performance outcomes data, to analyse data and generate management reports on same.
-Supervising the ordering, storage and maintenance of stationary and consumables to ensure value for money.
-To ensure follow up of action on reporting systems.
-Ensure risk assessments are carried out in relation to administration and clerical staff requirements.
-To supervise the workload and work issues of administrative and clerical staff to ensure efficient and effective service delivery and continuous service development and improvement.
-Oversee the maintenance and updating of staff records i.e. annual leave and sickness within the Regional HRPTS system and within the departmental systems.
-Monitor staff performance and take appropriate action as required in conjunction with the Administration Support Manager.
Essential Criteria:
-HNC/HND or equivalent/higher qualification in an administrative related field AND 1 years’ experience in a clerical / administrative role at Band 3 or above or equivalent.
OR
-NVQ level 3 in administration AND 2 years’ experience in a clerical / administrative role
-OR
-4 GCSEs at Grades A-C including Maths and English or English Language (excluding English Literature) or equivalent / higher qualification AND 3 years’ experience in a clerical / administrative role
OR
-4 years’ experience in a clerical/administrative role at Band 3.
-OCR Level II (Parts 1 & 2) Text processing/Word processing OR 2 years equivalent experience in the use of Microsoft Office Products including Microsoft Word.
-Working knowledge of electronic information systems/databases and inputting and extraction information
-Working experience in an administrative capacity dealing with competing demands on time and resources, adhering to tight deadlines.
