On behalf of our client, award-winning
organization seeking a meticulous and proactive Part-Time Office Manager to
ensure the smooth and efficient operation of the Belfast, city centre office.
This exciting
opportunity requires a candidate with demonstrable accounts experience, as
you'll be responsible for tasks such as processing invoices and liaising with
accountants for VAT returns, payroll, and year-end accounts. However, this is a
varied role and the Office Manager will also provide business support, and
office coordination to ensure a smooth operation.
This would be 20-25
hours per week however the employer is flexible on the hours worked between
Monday to Friday, 9am to 5pm.
Duties include:
1. Manage
invoicing and payment tracking for clients and projects.
2. Maintain
financial records and assist with bookkeeping using Xero
3. Process
supplier invoices and payments.
4. Liaise
with accountants for VAT returns, payroll, and year-end accounts.
5. Research
and track relevant tender opportunities.
6. Assist
in preparing and submitting tender documents, including fee proposals and
pre-qualification questionnaires (PQQs).
7. Maintain
an up-to-date library of standard bid responses and company information.
8. Maintain
project documentation and ensure records are well-organized.
9. Assist
with contract administration and document control.
10. Handle
insurance, professional memberships, and company certifications.
11. Order
office supplies, software licenses, and subscriptions.
12. Support
recruitment and onboarding of new staff.
13. Organize
team meetings and training sessions.
14. Ensure
compliance with workplace health & safety regulations.
15. Assist
with website updates, social media, and newsletters.
16. Organize
events and client hospitality.

You will also need:
