Our client, A Large public sector organisation, is looking for an Executive Officer to join their team.
Duration: 6 months with the possibility of extension
Rate of pay: £15.97
Hours: Monday-Friday 9am-5pm
Location: James House, Block D, 2 - 4 Cromac Avenue, The Gasworks, Belfast
Key Responsibilities
Business Support
1. Prepare and issue agendas, programmes, briefing papers, speaking notes, and reports for monthly Board and committee meetings, and other meetings as required.
2. Administration of internal IT programs to ensure users receive papers and notifications for scheduled meetings in accordance with deadlines.
3. Attendance at scheduled Board and committee meetings including pre-briefs/debriefs and preparation of draft minutes & agreed actions for circulation to senior officials.
4. Administration of written questions to external stakeholders, ensuring questions are sent, responses received, records maintained, and communication takes place in accordance with guidelines.
5. Ensure domestic arrangements for meetings are in place including room set up and clearance.
6. Liaise with external stakeholders to confirm programmes, agendas and attendees for scheduled meetings.
7. Provide administrative support to Board Members as and when required.
General Administration
1. Printing and copying of meeting papers, preparing invoices for payment, processing Members expenses claims, making travel arrangements for Board officials, and arranging catering for all NIPB meetings as and when required.
2. Providing administrative support to Members/senior officials/Head of Branch as and when required, for example, meeting preparations and room bookings.
3. Administering petty cash in accordance with policy and procedures.
4. Updating key documents on regular basis including Board Member’s Register of Interest and the Board’s Gifts and Hospitality register as required.
5. Updating and maintaining business related data on internal spreadsheets as required.
6. Managing and co-ordinating car parking requirements for the branch.

Essential Criteria:
* 5 GCSE’s A-C including Maths & English (We will require proof at time of application) and 2 A Levels
