Base: Admin Offices, Unscheduled Care, Ulster Hospital

Hours of Work: 37.5hpw Monday to Friday 8am-4pm or 9am-5pm

Length of Post: 3 months initially with possible extension

JOB SUMMARY

The Administrative Team Leader will assist the Administration Services Manager in order to provide effective and efficient administrative, clerical and secretarial services. The post holder will lead and manage a specific team within Unscheduled Care Department.

The post holder will work as integral part of the Unscheduled Care Team; ensure a smooth and coordinated patient journey through the service. They will also be required to support and contribute to the operational business of the Directorate by facilitating the attainment of relevant targets as well as in the modernization and continuous improvement of services.


KEY DUTIES / RESPONSIBILITIES

  1. Manage, motivate and deploy efficiently and effectively members of the administrative team promoting positive staff morale.
  2. Participate in the selection, appointment, retention, induction and training of staff within area of responsibility.
  3. Daily organisation, supervision and management of staff under their remit.
  4. Validation and approval of monthly and weekly staff timesheets and ensure forwarded to Payroll within appropriate time.
  5. Co-ordinate and organise annual leave and ensuring cover is available at all times to meet the requirements of the service
  6. Monitor and record absenteeism in accordance with Trust and Unscheduled Care policies taking necessary remedial action.
  7. Monitor staff performance, promoting positive staff morale, empowerment and commitment, and where appropriate challenge performance issues and take remedial action.
  8. Promote and undertake KSF Appraisal with staff and provide guidance and advice to members of staff within assigned area of responsibility
  9. Delegate appropriate responsibility and authority to the level of staff within his/her control consistent with effective decision-making while retaining overall responsibility and accountability for results.
  10. Identify training and development needs of the team and arranging further training as appropriate.
  11. Ensure robust induction programmes are in place for all staff
  12. Monitor and analyse working practices and performance area of remit, against internal and external targets and ensure that corrective action is taken including early identification of risks to the Administration Services Manager.
  13. Deputise for the Administration Services Manager as appropriate and when required.
  14. Attend Management meetings as and when required and take any necessary action resulting from matters raised.
