The Role
The role of Office Administrator is an integral position within the company and will be a wide and varied position supporting the day to day operations as well as providing support to the partners. With year on year growth, the role represents an ideal opportunity to take ownership of and help propel the growth of the business.
Typical duties will include:
Office Operations
- General administration - scanning, photocopying, filing, confidential shredding, incoming goods and courier providers, daily mail distribution
- Produce a range of relevant documents and reports
- Assistance with tender applications and pitch presentations including practice credentials documentation, insurance etc.
- Manage all office supplies with a focus on efficiencies.
- Management of IT service contract, plus other suppliers where required
HR Administration
- Processing weekly payroll in line with company procedures.
- Responsible for recording and actioning absence management procedures.
- Coordinating staff leave
Finance
- Practice financial management including management of client and supplier invoices, receipts and expenses.
- Management of subcontractor eligibility including payments, insurance and financial requirements
- Work in cooperation with the company's external accountants, monitor financial work in progress, running the weekly payroll, quarterly (NI) VAT returns and any additional financial requirements
- Managing purchase and sales ledgers, bank reconciliations and managing cashflows for operation
- Management of credit control
Essential Criteria
- Experienced Office Administrator or Office Coordinator in a Professional Services environment
- Excellent IT and systems skills
- A self-starter and someone who can work on their own initiative
- Exceptional organisational skills with the ability to multitask and prioritise tasks effectively
- Strong attention to detail and accuracy
- Ability to maintain confidentiality and discretion when handling information
Package
- Salary for the role is £27,000 - £30,000 depending on skills and experience
- 35 hours per week Monday to Friday, working hours negotiable
- Pension contribution
- 30 days inclusive of statutory and your birthday
- Belfast location with parking available, ideally placed near all public transport links
