We have an opportunity for you to join our client - A Large Public Sector Organisation, based in Foyle Street Derry/Londonderry as a full-time EO2 / Personal Secretary.
Rate of pay: £14.50ph - Weekly pay pattern
Location: Bangor
Hours: 9 to 5; Monday to Friday
Start Date - ASAP
Job Duties:
Distribute incoming work requests to
relevant Heads of Teams.
Collate returns and bring priority work to
attention of the Director for clearance whilst
operating an effective B/F system to ensure
deadlines are met.
Manage incoming correspondence and
issue correspondence (drafting, proof
reading/editing as required) from Director’s
office ensuring sent to appropriate
addresses.
Using Outlook diary system arrange,
manage and facilitate (liaising with
attendees and making arrangements for
external visitors) meetings for two directors
Agency Worker Request Form (Excluding LOT 1) June 2024
(Andrew Scott and Claire McClelland).
Phone calls as necessary.
Collate and compile papers for meetings as
required.
Making necessary travel arrangement
Ensure e-mails are saved appropriately.
Adhere to security procedures and clear
desk policy at all times.
Maintain up-to-date knowledge of
Department’s and Directorate’s
organisation.
Photocopying and printing documents as
necessary.
Hold sufficient supplies of stationery.
Maintain Conflict of Interest and Gifts &
Hospitality register (as required).
General clerical duties (as required)
including tracking changes and editing
documents, preparing templates etc.
Essential Criteria:
Must have 2 GCSEs including Maths & English and 2 A Levels in Separate subjects - Proof of certificates required to proceed with application
1. (a) Level 2 diploma in Secretarial
Administration*
OR
(b) BTEC Level 2 Extended Certificate in
Business Administration*
AND
2. At least 1 year’s secretarial experience**
Applications will also be considered from
applicants with relevant formal
qualifications considered by the selection
panel to be of an equivalent or higher
standard to those stated.
*Relevant or equivalent qualifications: give the type of qualification and date awarded (the date awarded is the date on which you were notified of your result by the official awarding body). If you believe your qualification is equivalent to the one required, the onus is on you to provide the panel with details of modules studied etcso that a well-informed decision can be made. **Secretarial experience is defined as experience in an office based environment to include diary and mailbox management, dealing with enquiries, word processing, planning and prioritising work, co-ordinating and drafting responses and secretariat to meetings.
