Job Title: Personal Assistant
Band: 4 (£25,147 - £27,596)
Location:, Belfast
Hours: 37.5 hours per week
Job Summary:
The Personal Assistant will provide efficient, confidential secretarial and
administrative support to senior management, including diary management, minute
taking, correspondence handling, and preparing reports and papers.
Key Responsibilities:
- Provide
day-to-day administrative and secretarial support to senior management.
- Manage
diaries, arrange meetings, and take minutes.
- Organize
travel arrangements and process expense claims.
- Maintain
administrative systems, ensuring timely and accurate records.
- Produce
high-quality presentations and reports.
- Field
phone calls and provide cross-cover support to the senior management team.
- Ensure
proper maintenance of office equipment.
Qualifications & Experience:
- Essential:
- Two
A Levels (or equivalent) and 18 months’ relevant experience, or 3 years’
relevant experience.
- At
least 1 year’s experience using Microsoft Office (Word, Excel, Outlook,
PowerPoint).
- Experience
with administrative systems such as filing and diary management.
- Desirable:
- Knowledge
of the organization.
- Experience
in minute taking.
Skills:
- Strong
communication, organizational, and interpersonal skills.
- Ability
to handle confidential situations with discretion.
- Proven
ability to work both independently and as part of a team.
