Honeycomb are delighted to be exclusively partnering with CAJ in the recruitment for their 14-month maternity cover Office & Finance Manager, based in Belfast, salary ranging from £28,000 - £35,000.

About the Charity:

The Committee on the Administration of Justice seek to achieve the highest standards in the administration of justice in NI by ensuring that the government complies with its responsibilities in international human rights law.

They aim to support NI’s transformation into a peaceful society based on human rights.

Your Responsibilities Will Include:

This is a vital role with CAJ for the functioning of the office, you will be fundamental in supporting the office and logistics by overseeing administrative, personnel and financial arrangements.

  • Ensuring the efficient management of the office, overseeing the provision and maintenance of office equipment, stock and facilities
  • Overseeing relevant staff training, first-aid , evac procedures and meeting H&S standards
  • Undertaking event management, booking rooms, catering etc.
  • Maintain and archive organisational records for CAL Ltd, including minutes of exec meetings, elections to the sec, AGM reports, membership matters.
  • Advising the Director on compliance with all appropriate legal responsibilities including GDPR, accessing external advice as necessary
  • Providing administrative support for the Human Rights Trust
  • Participate in the work of the Building Management Group, liaising with colleagues in the Human Rights Partnership
  • Preparing organisational and project budgets, cash flow and budget monitoring reports
  • Supporting the Director in fundraising efforts inc. with necessary financial data
  • Preparing estimates in income and expenditure, implementing
  • Implementing tendering, ordering, purchase of services, ensuring all financial and accounting procedures are followed
  • Liaising with bankers, pension providers, auditors etc. on behalf of CAJ
  • Processing salaries and pensions, P.A.Y.E and relating matters to HMRC
  • Using Sage software, keeping programmes and personal training up to date
  • Minute taking at monthly meetings (3rd Tuesday of every month PM time can be taking back in lieu)
  • Managing arrangements for recruitment, overseeing office volunteers and induction for new staff
  • Keeping updated personnel policies and procedures, ensuring the upkeep of all appropriate administrative records e.g. sickness, appraisal notes, contracts
  • Strict confidentially policy, maintaining at all times

What do you need?

  • 3-5 years’ experience within business administration with financial administrative responsibilities
  • 2 years’ demonstrable experience in a similar role and within hr administrative responsibilities including policies, record keeping
  • 2 years’ experience financial record keeping and management, payroll, reconciliation, book-keeping
  • Minute taking, creating spreadsheets, maintaining databases
  • Systems experience, use of MO Suite and SAGE (or equivalent system)
  • Excellent organisational skills, ability to work off own initiative and within a wider team
  • Strong communication, both written and oral, dealing with callers/visitors in the appropriate manner
  • Highly proactive and driven individual
  • Commitment to equality and human rights
  • Occasionally available for evening/weekend (time taken back in lieu) and the ability to work from the office situated in Belfast
