Honeycomb Jobs is delighted to be working with a charity sector client, to recruit a temporary part time (21 hours a week) Grants and Administration Coordinator based in South Belfast.

The Client – Our client is one of Northern Ireland’s largest charitable and philanthropic organisations. It generates its income via a portfolio of over 300 housing units in the Greater Belfast area as well as via an investment portfolio. The organisation awards around £1-1.5 million in grants annually to a wide range of charitable causes. Some of these causes are in areas of health, community, scientific and medical research, culture, heritage, and the arts.

The Role – Requires a self-motivated professional who enjoys working with people. Will be working as part of a small team of staff to support the administration of grants as well as more broadly across the team. Duties will include but will not be limited to:

  • To provide administrative support to the Chief Executive Officer, Chair, Committee of Management, and Finance and Property Manager.
  • To respond appropriately to telephone and email enquiries.
  • To undertake the processing/eligibility of applications for grants and to record on Salesforce grant management systems.
  • To undertake further investigation into applications as directed including the drafting of general correspondence.
  • To process all grant decisions and related requirements including communicating decisions to grantees via Salesforce.
  • To verify all grant conditions met and the necessary documentation received.
  • To oversee grant payment schedules and make payments in a timely way.
  • To undertake duties required to secure reports from grantees.
  • To review and develop systems to improve efficiency.
  • To undertake reception duties and coordinate hospitality for meetings of the Committee of Management, sub-committees and visitors as required.
  • To open and process incoming correspondence and prepare outgoing correspondence.
  • To take minutes at meetings as required.
  • To record statistical information and annual statistics for the organisation on grant-making activities utilising the Salesforce grant management software package.
  • To assist with the administration of all aspects relating to the delivery of organisations’ core objectives.
  • To be responsible for filing all grant information, finance documentation and correspondence.
  • To attend internal meetings and carry out duties as requested.
  • Any other duties as required.

The Person

As the successful candidate you will have the following background and experience:

Essential:

  • Minimum of Grade C or above Maths and English (or the equivalent).
  • At least one years’ experience working in an office environment.
  • Excellent IT skills, Microsoft Office, database/CRMs, emails.
  • Knowledge of maintaining confidentiality and observing data protection legislation.
  • Able to work as part of a small team.
  • Ability to work contracted hours flexibly according to the needs of the organisation.
  • Willingness to undertake additional training and personal development according to the needs of the position.

Desirable:

  • Third Level Qualification.
  • At least one years’ experience working in a related field (grant funding or the voluntary sector).
  • At least one years’ experience overseeing grant payment schedules and making payments.
  • Knowledge of the community and voluntary sector through paid employment or volunteering.
  • Experience of working with a development/CRM database system or a willingness to learn.
  • Full valid Driving License.
