Client Services Support

Job Purpose:

To work as part of a collective team to maintain high levels of service and attention to detail whilst providing client support to ensure efficient operation of the Serviced Office Provider – venYou.

Maintain a positive and friendly company image by acting as the first line of contact to clients and visitors in person, online, and via telephone.

Report to: Director

Main Duties and Responsibilities:

  • Supports both the Operations Director and Client Services Director in a variety of tasks to ensure the smooth daily running of the serviced office provider venYou.
  • You will be based at both Reception and the Management Office and will be on a rota basis with the Client Services Team
  • Act as the first point of contact for all client queries and be responsible for ensuring each query is dealt with in a timely manner.
  • Ability to effectively communicate via phone and email ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner.
  • Maintain and manage the Salto door access system ensuring data is kept accurate and UpToDate.
  • To be fully competent in the setup and provide support to clients of the audio visual and video conferencing facilities within the boardrooms.
  • Manage outgoing post and record data on special deliveries.
  • Maintain and manage the building maintenance reports whilst liaising with building maintenance/ contractors.
  • Operate and schedule meetings and appointments through an online meeting room booking system.
  • Assist in the set-up and turnaround of meeting rooms as per client requests e.g., providing flipcharts and organizing refreshments.
  • Maintain the building stationery requirements along with maintaining the building marketing and branding material.
  • Operate and maintain the communal printer and ensure clients are billed accordingly.
  • Develop and maintain an online filing system.
  • Carry out weekly checks on all show/ vacant offices.
  • To be fully aware of their responsibilities for Health & Safety of themselves and others
  • To adhere to all fire safety test procedures and to assist in the evacuation process in the event of fire.
  • To undertake all training as required (e.g., first aid, health & safety, customer service).
  • To undertake any other ad-hoc duties relevant to the post, as and when required

Hours

  • Monday – 8:30am – 5:30pm
  • Wednesday – 8:30am-5:30pm
  • Friday – 8:30am-1:30pm

Starting date February – Maternity Cover.
