JOB TITLE: Temporary Operations Co-ordinator
Hourly Rate of pay: £17.59 per hour plus accrued

KEY PURPOSE:
As a member of the Lagan Valley LeisurePlex Management Team
the post holder will report to the
Operations Manager and be responsible for;
- Coordinating the deployment of Senior Leisure
Assistants, Leisure Assistants within Lagan Valley LeisurePlex
in accordance with Council strategies, policies and budgets.
- Assist the Operations Manager in the effective
and efficient management of Lagan Valley
LeisurePlex. In line with corporate objectives coordinate activities within the centre to
include the approach to best value, the application of business improvement,
financial planning and staff development.
- Act as a manager on duty for the facility within
the agreed rota and act as a key holder for the
Leisureplex, undertaking any other appropriate duties as may be assigned by the
Operations Manager, including cover for sickness, leave or staff vacancies and
will deputise for the Operations Manager as required.
- Liaising with contracted cleaning, security and
caretaking companies to ensure the availability and
provision of high quality, well maintained, clean and safe facilities and
equipment to support the operational programme of the LeisurePlex, grounds,
3G pitches and Recreation Centre.
KEY DUTIES AND
RESPONSIBILITIES:
1.
Devise employee rotas for Senior Leisure
Assistants, Leisure Assistants, and in accordance with
Council strategies, policies and budgets. Ensure employee rotas comply with Normal
Operating Procedures and Emergency Action Plans and support the operational
programme.
2.
Develop and integrate the Vitality Household
Programme and establish it as the main income and participation driver within
Lagan Valley LeisurePlex including the productive implementation of Legend
Leisure Management software.
3.
Plan and prepare day to day work programmes and
schedules for Senior Leisure Assistants, Leisure Assistants, and directly
employed Cleaners in accordance with Centre programme requirements.
4.
Schedule Senior Leisure Assistants, Leisure
Assistants and directly employed cleaners’ leave in accordance with the
requirements of the operational programme of the Centre ensuring sufficient
staffing levels at all times.
5.
Oversee the cleaning, facilities and equipment
to support the operational programme of the 3G pitches and Recreation Centre.
While ensuring all policy and procedures, work instructions and records are
maintained to support the ongoing operations of the building and pitches.
6.
Line manage and supervise allocated staff
ensuring consistent application and implementation of all Human Resources
policies and procedures. In consultation with the Operations Manager, create,
design & implement procedures and work instructions, and develop sound
working practices for operational staff.
7.
Assist the Operations Manager in implementing
robust procedures to maintain and control the inventory of equipment,
furnishings, stock, etc., ensuring repair where necessary.
8.
Assist the Operations Manager in liaising with
the Plant Manager, and external contractors to ensure facilities and equipment
are maintained to support the ongoing operation of the LeisurePlex and cause
minimum disruption for customers.
9.
In consultation with the Operations Manager,
oversee the cleaning function to include appropriate scheduling and
documentation, production of cleaning schedules, method statements, contracted
cleaners documentation etc., for all areas of the facility and grounds.
10. Ensure
that quality standards, work instructions and records in accordance with Quality
Accreditation systems agreed by the Council are followed and maintained.
11. Carry
out checks to monitor the quality of cleaning and other work by both contracted
workers and council employees.
12. Assist
the Operations Manager in the preparation of Annual Estimates of income and
expenditure and monitor these against performance. Provide reports for the
Operations Manager as required.
13. Assist
the Operations Manager in working with franchisees, contractors and consultants
to support development and effective, efficient and economic day to day operation
of the centre.
14. Coordinate
identified and approved training activities for Senior Leisure Assistants and
Leisure Assistants in consultation with Human Resources. Oversee the training programme,
its content and monitor the implementation of training programmes for those
employees.
15. Help
ensure that the very highest standards of health and safety for both customers and
colleagues are maintained at all times and that all relevant statutory health
and safety requirements and Council health and safety policies, procedures and
work instructions are adhered to at all times.
16. Liaise
with officers in Leisure Services and other Council Departments to support the effective,
efficient and economic operation of the Centre in line with Council policies
and procedures and maintain high standards of customer care throughout the
facility.
17. Liaise
with staff from other Council departments, external contractors, consultants and
customers regarding operational issues such as special events, bookings and operational
issues.
18. Help
ensure that all Child Protection and Vulnerable Adult legislation, published relevant
guidelines and Council policies are complied with in the operation of the services
and activities of the facility, to ensure a safe environment for bot customers and
staff.
19. Ensure
compliance with Council policies and procedures and operate within the highest
standards of management and personal behaviour, which reflect the core values
and behaviours of the organisation.
20. Ensure
the provision of high standards of customer care across the services provided
by the Unit.
21. Promote
and manage the service effectively and communicate in a way which enhances and
promotes the public image and overall reputation of the Council.
22. Develop
and enhance working relationships with relevant partners and stakeholders to
maximise corporate and community planning outcomes and to generate innovation
in service delivery.
The post holder will be required to work unsociable hours
on a rota basis and to work additional hours as required. The post holder will
be required to be flexible and adaptable to meet the changing needs and requirements
of the organisation.
ESSENTIAL CRITERIA:
It is essential that applicants have a minimum of:
Qualifications
1.1
2 A-levels grades A-C, NVQ Level 3 or
equivalent.
1.2
Three years’ relevant supervisory experience in
a leisure facility to include;

Line managing a team of employees
·
Developing and implementing operational
procedures
·
Setting work schedules
·
Operational responsibility for Health and Safety
Where applicants do
not hold the qualifications as outlined in 1.1, they must demonstrate a minimum
of five years’ experience as outlined in 1.2 above.
DESIRABLE CRITERIA:
It is desirable that applicants have experience of:

Operating quality models such as Customer
Excellence.
1.4
A basic knowledge of First Aid.
1.5
Knowledge of Child Protection and Vulnerable
Adult issues with specific reference to the leisure industry
