HR Assistant - Ballymena - Full Time
We’re looking for a detail-oriented and proactive HR Assistant to join a respected college, providing key support to their HR department. This temporary role offers a fantastic opportunity to build experience in a fast-paced environment, with the possibility of extension for the right person.
The Role:
- Position: Full-time Temporary HR Assistant
- Duration: Until end of January 2025 (with potential extension)
- Hourly Rate: £12.52 ph
- Location: Farm Lodge, Ballymena
- Schedule: Monday - Friday, full-time hours
Key Responsibilities:
Records Management
- Maintain accurate, up-to-date records on the college’s HR management system for both staff and applicants.
- Oversee and ensure compliance with recruitment and vetting procedures, managing Access NI checks in line with college policies.
- Track and process records related to sickness absence, probation, induction, appraisals, and training for all employees.
- Calculate back pay for agency staff as required.
Operational Support
- Implement and uphold college policies related to all HR processes.
- Assist in maintaining and enhancing the HR Management System
- Support the development, review, and amendment of HR procedures
- Track recruitment applications, assist with interview arrangements, and communicate interview schedules to applicants
- Prepare shortlisting and interview documentation, handle feedback requests, and assist in appeals processes
- Maintain registers for Part-Time Lecturers and Support Staff
- Attend job fairs or external events as needed
- Support note-taking and action follow-ups at meetings
- Provide general administrative assistance across the department as required
Criteria:
Qualifications:
- 4 GCSEs (or equivalent) at Grades A-C, including English and Maths, plus a recognised IT/Word Processing qualification
OR
- 4 GCSEs (or equivalent) at Grades A-C, including English and Maths, with at least 6 months’ data entry or word processing experience.
Experience:
- Minimum 1 year of office experience in the last 5 years, with duties such as data entry, word processing, filing, handling calls, and at least one of note-taking or records management.
OR
- 6 months of office experience in the last 5 years, including filing, phone duties, and either note-taking or records management, with a recognised IT/Word Processing qualification.
IT Skills:
- 6 months of experience within the last 5 years using spreadsheets, databases, email, word processing, and internet.
