Honeycomb Jobs is working with a large Public Sector organisation, looking to recruit a temporary Administrative Assistant ( 3 months, to be reviewed).

The Client – The Public Sector organisation is situated in the Ballymena catchment area.

The Role: To provide wide-ranging, administrative support to the Economic Development team and to ensure day-to-day administrative duties are completed to a high standard.

Duties will include but will not be limited to:

  • Provision of general secretarial/ administrative support to assigned senior staff, to include maintaining diaries and scheduling meetings, screening calls and emails, responding to routine enquiries and preparing outgoing mail.
  • Devise and maintain office systems to deal with the flow and storage of files, both electronically and in hard copy form.
  • Collate and produce management information and reports as directed.
  • Attend meetings, as required, to take notes, compile and agree minutes, noting attendance and follow up on actions.
  • Support the team to comply with Financial systems e.g. processing orders, coding invoices, setting up codes and ensuring invoices are processed on time.
  • Deal with queries from the public and relevant stakeholders in respect of areas of service delivery, including dealing with complaints.

The Person

As the successful candidate you will have the following background and experience:

Essential:

  • A minimum of 5 GCSEs to include English Language and Maths (grade C or above) or equivalent qualifications to demonstrate literacy and numeracy.

AND

  • Be able to demonstrate a minimum of 2 years’ administrative experience in a busy office environment to include:
    • The ability to deal efficiently with large volumes of work; and
    • Successfully prioritising competing demands.

OR

  • Alternatively, consideration may be given to candidates who do not possess the required educational qualifications but who can demonstrate a minimum of 4 years’ administrative experience in a busy environment, to include:
    • The ability to deal efficiently with large volumes of work; and
    • Successfully prioritising competing demands.
