Title: Principal’s Personal Assistant and
Administration Team Leader
Department: Administration
Responsible to: Bursar
through the Principal
Role: To provide secretarial and
administrative support to the Principal and supervise the Administration team.
Main Duties & Responsibilities
Principal’s
Secretary
Ø Full secretarial responsibilities under
the direction of the Principal, including typing of correspondence etc.,
management of Principal’s diary; filing; photocopying; and e-mail and post.
Ø Administration of School intake,
transfer of pupils and Education Authority appeal process.
Ø Administration of recruitment and
appointment process for Teachers and Classroom Assistants.
Ø Maintenance of teaching staff personnel
files.
Ø Assist in the organisation of School
events and provision of hospitality on behalf of the Principal.
Ø Liaison with teaching Staff, pupils,
parents and others.
Ø Provide such pupil information as
required using the SIMS system and pupil records.
Ø Assist with regard to statistical
returns and information required by external bodies/ statutory agencies.
Ø Administration of meetings including the
taking of minutes.
Ø
Responsible for the administration of Prize Distribution.
Ø Such other administrative duties as
could reasonably be expected of the post-holder.
Supervision of the
Administration Team
Ø Pro-actively manage the School’s Administration
Team through the planning,
prioritisation, delegation and supervision of work, to ensure prompt and
efficient provision of information and services.
- Ø Assist the Bursar and Principal in recruitment, selection
and appointment of Administration Team staff.
Ø Assist the
Bursar in training members of the Administration Team and identifying their
personal development opportunities.
Ø Initial
approval of all leave for Administration Team ensuring adequate cover is
maintained.
Ø
Responsible for performance management of the Administration
team and identifying their personal development opportunities.
Ø
Document
and update the administration processes and maintain an administration manual.
Ø
Ensure
all administration procedures are reviewed on a cyclical basis
Ø
Undertake informal disciplinary and grievance procedure
for direct reports.
Ø Such other administrative duties as
could reasonably be expected of the post-holder.
