MAIN DUTIES / PURPOSE OF JOB
An administrative role in supporting the encompass professional leads (nursing, AHP, social work) to support delivery of NHSCT encompass in the run up to Go-Live.
? Provide administrative support to the encompass professional leads, including organising and maintaining diary/scheduling any appointments and meetings.
? Ability to prioritise workload.
? Act as the point of contact for profession specific encompass issues.
? Type reports, memos, letters, forms etc to a high standard, as required from manuscript, audio and notes using a word processing system or through digital dictation.
? Order stock and stationary.
? Prioritising and carrying out word-processing duties to a high standard.
? Arrange and provide administrative support at meetings including minute taking and issuing of relevant documentation (at base or other locations
? as required).
? Open, sort and distribute all mail to the department and prepare outgoing mail as required.
? Take appropriate action in relation to mail, telephone and
other enquiries ensuring effective messaging and ‘bring forward’ systems are in place and necessary follow up action is taken.
? Liaise with outside agencies and other disciplines, dealing with enquiries as appropriate.
? To extract electronic and manual data from relevant information systems as required.
? Maintain and update manual records as required, e.g. client, staff and all operational filing ensuring to maintain an efficient filing system.
? Routine use of Word, Excel, PowerPoint and other data bases in the course of daily duties.
? Maintain confidentiality within and without the workplace at all times.
? Liaise with other professional lead administrative support teams, encompass PMO, professional Trust leads
? Undertake any other duties appropriate to the grade that may be assigned from time to time by professional leads
MAIN QUALIFICATIONS / EXPERIENCE SOUGHT
a) 4 GCSEs to include English Language (Grade A-C or above) and 1 year’s clerical/secretarial experience in an office environment
OR
b) 2 years clerical/secretarial experience in an office environment and GCSE English Language Grade A-C
In addition to a) or b) applicants must have 2 years' practical experience of the Microsoft Office suite of programmes, Word, Excel, PowerPoint, Outlook and intranet / internet.
AND
Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment. This criteria will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by the Trust which will permit them to carry out the duties of the post.
