Resources Assistant on behalf of the Southern Health and Social
Care Trust
Job
Purpose:
The
post holder will be required to provide an efficient and effective
administrative support to the Pay & Conditions Team within the Employee
Relations Department and across the wider Human Resources & Organisational
Development Directorate as required.
Job
Description:
·
Provide
general administrative duties to include Word processing, photocopying and
scanning documents.
·
Undertake
filing duties for various teams within the Pay & Conditions Team, assisting
with the updating and maintenance of files on the electronic filing system.
·
Answer
telephone enquiries professionally and deal with routine queries, take messages
and re-direct queries as appropriate.
·
Responsible
for incoming and outgoing mail to the Employee Relations Department, sort and
distribute mail to the appropriate members of staff.
·
Monitor
team shared email inboxes; respond to routine enquiries and forward emails for
the attention of the appropriate members of staff.
·
Assist
with providing information requested by the Information Governance/ Litigation
Department’s, ensuring a record of information provided is recorded
electronically.
·
Retrieve
departmental records including both manual and electronic.
·
Provide
reception duties as required – greet, direct and assist all visitors to the
department. 9. Assist as required with booking rooms for meetings.
·
Check
level of stationery supplies for the department alerting the officer
responsible for ordering when re-ordering is required.
·
Assist
with the disposal and retention of records in accordance with legislative/
departmental requirements.
·
Maintain
a high level of confidentiality with regard to information being processed.

Criteria:
Applicants must, by the closing date for
applications, have:
1. 4 GCSEs at Grades A-C
including English Language or equivalent/ higher qualification;
OR
1 years’ experience in a clerical /
administrative role.
2. Experience in the use
of Microsoft office products i.e. Word, Excel, Outlook or equivalent.

Ability to work as part of a team
· Ability to use own
initiative
· Good organisational
skills with an ability to prioritise own workload.
· Effective
communication skills to meet the needs of the post in full.

· Hourly Rate: £11.45 per hour
· Duration: until 30 Sept 2024 initially
· Location: Armagh
